Prepared for Marianne, October 2026 · The Chapel Hill Residential Retirement Center, Inc., d/b/a Carol Woods · 750 Weaver Dairy Road, Chapel Hill, NC
Carol Woods is governed by more than 95 resident-run committees, and three residents sit on the board. So this is not built as a CFO console. Every statutory ratio carries one plain English line underneath saying what it means, so a resident on the Finance or Health Services committee can read the quarterly filing pack without a finance background, and ask a better question because of it.
G.S. 58-64A-150(a)(39) requires all eight for the past three fiscal years and the next three forecast years, for the provider alone and for the obligated group, with a narrative for any material change. This board carries them quarterly so the narrative is never written from memory.
Days cash on hand against debt service coverage. Quarters after the one selected are drawn faint, because they are not yet in a filed pack.
The 12-month daily average occupancy rate by living unit type, which is the exact form the statute asks for. The dark tick on each bar is the plan rate the board set for FY2026.
A schematic of the Carol Woods campus using the community's own building names. Each node is sized by living units and tinted by its 12-month daily average occupancy. Underneath each one is the resident committee that advises on it, because at Carol Woods the occupancy number and the people who discuss it are in the same room.
The four items G.S. 58-64A-205 requires within 45 days of each fiscal quarter end, plus the cadences that sit around them.
A plain question, answered against the same numbers the panels above are drawn from. Written so a committee member gets an answer, not a query builder.
Each of these replaces a specific recurring assembly task. Hours shown are illustrative, based on what comparable single-campus continuum finance and compliance teams report.
On the morning after each fiscal quarter end, the unaudited statements, the eight ratios for provider and obligated group, and occupancy by living unit type are pulled, reconciled and written into the NCDOI pack format, with the material-change narrative pre-drafted from the quarter's own movements.
The statute requires notice of any change to the board, the president, the CEO, the CFO or the organizational documents. A watch on the board roster, the senior officer list and the bylaws repository raises the notice itself, pre-filled, the week the change happens rather than the week the pack is due.
Before each semiannual in-person resident meeting with an independent board member, a short brief is generated: the quarter's ratios in the plain English form shown above, occupancy by unit type, what moved and why, and the three questions the numbers most invite.
